TERMS & CONDITIONS
1. Booking and Deposit
• A 50% deposit is required to secure all bookings.
• Deposits are non-refundable.
• Final guest numbers and all outstanding balances must be paid 14 days prior to the event date.
2. Pricing & Quotes
• All quotes are valid for 14 days unless otherwise stated.
• Pricing may vary depending on seasonal availability, market fluctuations, and produce costs.
3. Changes to Bookings
• Any changes to guest numbers, menu selections, service style, or event details must be made in writing.
• Reductions in guest numbers after the 14-day cut-off cannot reduce the final invoice amount, as produce will already have been ordered.
4. Cancellations
• Cancellations must be made in writing.
• Deposits are non-refundable.
• If cancellation occurs after produce has been ordered, the client is responsible for all produce costs and any preparation already completed.
• If cancellation occurs within 14 days of the event, the total invoice balance is still required to be paid in full.
5. Event Requirements
• Grilled and Gathered Co is responsible for obtaining any required permits, including fire permits, council approvals, or venue permissions, unless otherwise agreed in writing.
• The client must ensure the venue allows fire use and is suitable for access, setup, and service.
6. Equipment & Safety
• Grilled and Gathered Co uses live fire and specialised equipment. Guests and third parties must not touch, move, or interfere with our equipment at any time.
• Damage to equipment caused by guests, venue staff, or third parties will be invoiced to the client.
7. Venue Access
• Adequate access for vehicles, equipment, and staff must be provided.
• Any delays caused by inadequate access, site setup issues, or venue restrictions may incur additional charges.
8. Photography & Marketing
• Grilled and Gathered Co reserves the right to use photos and videos taken at events for marketing unless the client requests otherwise in writing prior to the event.
